Blackbaud Merchant Services Fees: What to Ask
If you are evaluating Blackbaud Merchant Services (BBMS), the hardest part is not the technology. It is knowing what you will actually pay. Rates are not posted like a retail menu, and your contract may bundle fees you do not notice until the first statement arrives.
This guide explains how BBMS fees are usually structured, what to ask your Blackbaud rep, and how those costs connect to the work your bookkeeper does every month. For a full side-by-side of BBMS and Blackbaud Giving Fund, see our article on Blackbaud Merchant Services vs Giving Fund.

What Blackbaud Merchant Services Is
BBMS is Blackbaud’s payment processing service for credit cards, debit cards, and ACH. It works with products such as Raiser’s Edge NXT, Luminate Online, and Blackbaud Online Express. Money from a donor’s card or bank account is processed and settled to your organization’s bank account, with fees deducted along the way.
It is not the same as Blackbaud Giving Fund. Giving Fund is a donor-advised fund model with a different fee story and timeline. If you are weighing both, start with the comparison guide so you are not comparing a processor to a fund.
Fee Types You Should See on Paper
Ask for a single document that lists every fee type that can apply to your account. In nonprofit conversations, these categories come up most often:
Percentage plus flat per transaction. Card-present and card-not-present rates often differ. ACH is usually lower than cards but may still carry a flat fee per payment.
Monthly minimums. If your processing volume in a month is low, you may pay a minimum that functions like a floor on what you owe the processor.
PCI and security-related line items. Some agreements include annual or monthly compliance-related charges. Ask what you must do on your side to avoid penalties or extra fees.
Chargebacks and disputes. Each chargeback often triggers a fixed fee, win or lose. High dispute volume adds up fast.
Implementation or change fees. New forms, new sites, or contract changes sometimes carry one-time charges. Get them in writing up front.
Your rep should be able to translate a projected monthly gift volume and average gift size into an estimated monthly processing cost. If they cannot, treat that as a signal to slow down until the math is clear.
Questions for Your Finance Team Before You Sign
-
What is our effective rate? Take last month’s total fees divided by last month’s gross volume. Compare that to the proposal, not just the headline percentage.
-
How do small gifts affect us? A $15 gift still pays a flat per-transaction fee. If most of your online volume is small, the flat fee matters as much as the percentage.
-
What hits our bank as lump sums? BBMS settlements often arrive as batches. Your team still has to tie those deposits to individual donors in the CRM and to the right funds in the ledger. For a broader picture of Blackbaud stack costs, read Blackbaud pricing: what small nonprofits really pay.
-
What is our plan if we leave Blackbaud? Payment portability and data export affect switching cost. Ask about contract end dates and any early termination language.
BBMS and Your Books
Processing fees are only part of the story. BBMS does not replace fund accounting. Someone still has to book each gift to the correct fund, handle restricted gifts, and reconcile bank activity to your statement of activities.

The Bottom Line
You deserve a written fee schedule, a modeled monthly cost at your actual gift patterns, and clarity on every line item that can appear on a statement. Without that, you cannot compare BBMS to Giving Fund, to another processor, or to an integrated platform on equal terms.
When you have the numbers, the decision is simpler: choose the path that fits your donor experience, your cash flow timing, and the least reconciliation work for your team.
