Donor CRM

Donor CRM is your relationship workspace inside Donor Hub. The list view shows summary tiles, filters, and exports that respect every active filter. The profile view uses Donations, Notes, and Communications tabs so stewardship, internal notes, and marketing consent stay in separate places.

What You Can Do

  • Search by name, spouse, email, phone, address, tags, notes, totals, and first or last gift dates
  • Filter by donation type (one-time, recurring, or both) and by gifts made during a date period—not just last gift date
  • Open a donor profile to edit individual gifts, void with accounting permission, or process card refunds within the 90-day window
  • Send or resend a donor portal magic link when the donor has a real email address
  • Link or create a household, merge duplicate profiles, or export the filtered list to Excel or PDF

Common Tasks

Invite a donor to the portal

  1. Open the donor profile in Donor Hub → Donor CRM.
  2. Confirm the donor has a real email (not a placeholder address).
  3. Click Send login link or Resend login link; the donor lands on the magic-link portal after clicking the email.

Link spouses into one household

  1. From the donor profile, open the unified household dialog.
  2. Choose Link Existing or Create New, assign roles, and set the primary contact.
  3. Review combined household giving on the household card without merging separate donor records.

Good to Know

Household linking groups donors for recognition and mail deduplication; Merge combines duplicate records into one profile. Use households for spouses at the same address; use merge only when two records represent the same person.

Recurring badges on the profile follow hybrid logic that matches Donations Manager and Giving Overview. Parent-org users see live recurring payment schedule details only when payment processing returns an active, trialing, or past-due subscription; otherwise the profile offers a shortcut to Donor Payment Management.

Donor CRM is included on all plans with Donor Hub access. Portal invites require a deliverable email. Communications tab shows read-only email and SMS consent—staff cannot override opt-outs from the CRM.
