Volunteers CRM

Volunteer Management is the Volunteers CRM under People → Volunteers. Coordinators maintain profiles, approve hours, track setup steps, and send portal magic links from one searchable roster. Event sign-ups from the scheduler appear on a History tab separate from hour entries.

What You Can Do

  • Search volunteers by name, email, phone, address, skills, tags, hours, notes, and activity dates
  • Filter setup complete vs incomplete with server-side counts that match exports
  • Add, edit, approve, reject, or delete hour entries from the profile Hours tab
  • Send or resend volunteer portal login links when email is present
  • Review background-check status, signed waivers, and emergency contacts on each profile

Common Tasks

Approve submitted hours

  1. Open People → Volunteers and select the volunteer.
  2. On the Hours tab, review pending entries.
  3. Approve or reject with notes so grant reports stay accurate.

Invite a volunteer to the portal

  1. From the volunteer profile, click Create Login or Resend Login Link.
  2. The volunteer receives an OTP email and lands in the volunteer portal without a password.

Good to Know

Volunteer login emails are transactional auth messages—not Fundraising email campaigns. If mail fails, verify your organization email settings before re-sending.

Volunteers with both volunteer and donor records may see a merged portal experience. Staff roster access excludes portal-only volunteer org memberships from the Groups & Teams grid.

Core volunteer CRM is available on plans with People access. Background checks and scheduler features may require Plus+ or Tools access—see those guides for tier gates.
