Engage Your Volunteers

The Volunteers CRM helps you manage volunteer information, track hours, coordinate activities, and recognize your most dedicated supporters.

Volunteer Profiles

Each volunteer has a comprehensive profile containing:

  • Contact Information: Name, email, phone, address
  • Emergency Contact: Name, relationship, phone number
  • Skills: What they can help with
  • Interests: Areas they're passionate about
  • Availability: Days and times they can volunteer
  • Background Check: Status (pending, approved, expired) and date

Volunteer Types

  • Regular: Volunteers who contribute on a consistent schedule
  • Occasional: Volunteers who help when available
  • Event-based: Volunteers who help at specific events only

Hour Tracking

Track volunteer contributions:

  • Total Hours: Lifetime volunteer hours
  • Year-to-Date: Hours in the current year
  • By Activity: Hours broken down by what they did
  • Approval Workflow: Staff can review and approve submitted hours

Adding Volunteers

  1. Navigate to People Hub → Volunteers
  2. Click "Add Volunteer"
  3. Enter contact information
  4. Set volunteer type and status
  5. Add skills and availability (optional)
  6. Optionally create a login account for self-service
  7. Save the volunteer

Managing Hours

From a volunteer's profile, you can:

  • Add new hour entries
  • Edit existing entries
  • Delete incorrect entries
  • View complete hour history
  • Export hours to CSV

Recognition Milestones

Automatically track when volunteers reach milestones:

  • 50 hours
  • 100 hours
  • 250 hours
  • 500 hours
  • 1,000 hours
