The Volunteer Hours Report gives you comprehensive visibility into all volunteer activity across your organization. Whether you need data for a grant application, a board presentation, or a volunteer appreciation event, this report pulls together everything in one place.

Report Options

• By Volunteer: Individual hour summaries showing total hours, dates served, activities, and milestone progress for each volunteer
• By Activity: Hours grouped by activity type (direct service, administrative, fundraising, governance) to see where volunteer effort is concentrated
• By Program: Hours tied to specific programs or campaigns—essential for grant reporting that requires volunteer hour data
• By Date Range: Filter to any time period—weekly, monthly, quarterly, annual, or custom dates
• By Team/Department: Hours broken down by group or team assignment

Generating Reports

1. Navigate to Reports → Volunteer Hours
2. Select your date range
3. Choose how to group the data (by volunteer, activity, program, or team)
4. Apply any additional filters (specific volunteer, activity type, approval status)
5. Click "Generate"
6. Export to PDF or Excel

Value Calculation

Reports can include the dollar value of volunteer time, which is critical for in-kind contribution reporting and grant applications:

• Independent Sector Rate: The nationally recognized value of volunteer time, updated annually
• Custom Hourly Rate: Set your own rate for specialized volunteer services (e.g., a CPA volunteering their accounting expertise)

The calculated value flows directly into your financial reports as in-kind contribution revenue when applicable.

Grant Reporting

Many grants require documentation of volunteer hours as matching contributions. This report gives you the exact data grantors need: total hours, dollar value, activity types, and date ranges—all in a professional format ready to submit.

Recognition

Use the report to identify volunteers approaching milestones (50, 100, 250, 500, 1,000 hours) and plan recognition events or certificates.
