Document Requests let you send fillable, signable forms to staff, board members, or outside parties. Upload a document, place text, date, and signature fields on the page, and send a secure one-time link. Recipients complete and sign online, and you receive a finished, locked copy back.

Available on Plus, Pro, and Enterprise from the Tools hub. It is separate from Waiver Management, which is built for event and volunteer releases. Save completed documents to My Files for shared, organized storage.

Plus or above. Staff need edit access to create requests.

Collect Signed Documents

Open Tools → Document Requests and start a new request. Upload your PDF, then click to place fields anywhere on the page—text, number, date, or typed signature. When you have multiple signers, assign each field to a specific recipient so each person sees only what is theirs. Set an optional password and expiry date, then send. Each recipient receives their own private one-time link. Once they fill and submit, the link is closed and the finished document is flattened so the content cannot be changed.

  • Assign separate fields to multiple signers so each person sees only their portion
  • Protect links with an optional password and set an expiry date
  • Track every request through draft, sent, completed, cancelled, and expired stages
  • Resend emails, cancel open requests, download the finished copy, or save it to My Files

Common Tasks

Send a document for signature

  1. Open Tools → Document Requests → New document request. Upload your PDF, place fields on the page, and save.
  2. Add one or more recipients, assign fields to each signer, and optionally set a password and expiry. Copy the one-time links or send by email.
  3. When all signers complete their portions, download the finished PDF from the detail panel or click Save to My Files.

Good to Know

Each recipient link is single-use and expires after submission—recipients who return can view the completed document but cannot edit it. If a recipient misses the deadline, resend from the detail panel to issue a fresh link.

Document Requests handles ad-hoc outbound documents with custom field layouts—use it for board consents, vendor agreements, and staff paperwork. For repeatable event or volunteer releases with reminders, use Digital Waivers or Waiver Management instead.
