Vendors CRM

Quick Answer: Vendors CRM

Store vendor terms, W-9s, and payment history linked to expenses and bills - simplify 1099 season and give finance one place to answer vendor questions.

Vendors CRM

Vendors CRM stores the companies and contractors you pay, along with terms, tax details, and spending history. Finance can answer vendor questions without digging through email threads.

What You Can Do

  • Save W-9 details and payment terms on each vendor profile
  • See linked expenses and bills for year-end 1099 preparation
  • Select vendors when entering expenses so reporting stays consistent

Common Tasks

Onboard a new vendor

  1. Open People, then Vendors CRM.
  2. Create a profile with legal name, address, and tax ID.
  3. Choose that vendor the next time you record a bill or expense.

Good to Know

Vendor totals roll up from posted expenses and bills. Confirm amounts before issuing 1099s; Alignmint highlights vendors over typical reporting thresholds but does not file forms for you.

Update payment terms when a vendor negotiates new net-day language so bills and cash-flow expectations stay accurate for your bookkeeper.

Attach notes about insurance certificates or contract renewals on the vendor profile so board members can see context without searching email.

Before year-end, sort vendors by total paid and confirm tax IDs with your finance lead so 1099 preparation is a single working session.

Vendor Profiles

  • Contact Information: Company name, address, phone, email, website

  • Payment Terms: Net 30, Net 60, or custom terms

  • Tax ID (W-9): Store vendor tax identification numbers for 1099 reporting

  • Notes: Add internal notes about the vendor relationship

Transaction History

See all expenses and bills associated with each vendor. Track total spending by vendor over any time period.

Linking to Expenses & Bills

When you record an expense or create a bill, select the vendor from your list. This automatically links the transaction to the vendor's profile for easy reporting and 1099 preparation.

1099 Preparation

At year-end, use the vendor list to identify vendors who received $600 or more in payments and need a 1099 form.
