Grant Assistant

Grant Assistant lives at Fundraising -> Grant Assistant and is available to Pro and Enterprise organizations.

User Flow

1. Configure Strategy with mission, programs, geography, populations served, funding priorities, exclusions, grant size range, deadline buffer, reporting tolerance, tone guidance, reusable facts, and monthly automation. 2. Review paginated Opportunities imported from public and curated/private sources. Opportunities with an existing draft are labeled as drafted instead of offering duplicate prefill. 3. Click Prefill on an opportunity, or enable monthly automation. Write actions require read/write Grant Assistant access; read-only users can review existing packets but cannot prefill, edit, or export because exports stamp the draft and may write to My Files. 4. Review the generated draft packet in Drafts. 5. Edit every AI-written section directly. 6. Export as a download or to My Files.

Review Policy

Grant Assistant prepares a review-ready packet. It does not submit grants. All drafts require human review before a user copies content into a funder portal or submits externally.

Notifications should say "Grant draft ready for review."

Exports

  • Download supports Markdown, CSV, and DOC-compatible packet exports through the shared export dialog.
  • Export to My Files writes to the existing dropbox storage bucket and creates a dropbox_files row.
  • V1 does not auto-submit to portals. Future rendering work can replace the current DOC-compatible/HTML packet internals with true DOCX/PDF binaries without changing the user-facing action names.

Strategy Data

Reusable organization facts and per-fund overrides are stored as JSONB for prompt assembly and future fund-specific strategy overrides. The Strategy tab presents reusable facts as plain labeled fields, then serializes them behind the scenes so users do not have to edit raw JSON.

Quota Safety

Manual prefill and monthly automation reserve quota before OpenRouter calls. If generation or draft persistence fails after reservation, the service releases the credit so users do not lose one of their monthly drafts without receiving a packet.

If persistence fails after a match or draft row has been created, the service removes the partial draft and restores or removes the opportunity match so the same opportunity can be retried instead of being stuck behind a broken draft.

Quota history follows the same quota owner used by prefill: Pro usage rolls up to the parent organization, while Enterprise usage stays on the selected fund/org.

Future Lifecycle

Later phases can add tracked applications, reporting reminders, awarded-grant conversion, and connections to grants_receivable / grant_donations.
