Balance Sheet by Fund

Balance Sheet by Fund

The Balance Sheet by Fund is a multi-column version of the standard balance sheet that breaks down your financial position by each fund. Instead of one combined total, you see exactly where your money sits across all your restricted and unrestricted funds.

What You'll See

  • One Column Per Fund: Each fund gets its own column showing assets, liabilities, and net assets
  • Total Column: A combined total column on the right for the organization-wide picture
  • Standard Layout: Assets at the top, then liabilities, then net assets—same structure as the regular balance sheet

Why It Matters

If you manage restricted funds, grantors and board members want to see that money is being held properly. This report proves that restricted gifts are still intact and haven't been co-mingled with unrestricted operating funds.

Common Uses

  • Board Meetings: Show the board exactly how each fund is positioned
  • Grant Reporting: Demonstrate that grant funds are properly segregated
  • Audit Preparation: Give auditors fund-level detail without extra work
  • Year-End Review: See the full picture of restricted vs. unrestricted balances

Generating the Report

  1. Go to Reports → Balance Sheet by Fund
  2. Select the as-of date
  3. Click "Generate"
  4. Export to PDF or Excel
