Custom Checklists is the staff operations tool for reusable checklists: versioned templates, repeating runs, assigned work, and exports. Build a template once, share it with selected teammates or the whole organization, and run it on a schedule. It is not an event check-in list and not a volunteer signup workflow.
Where to find it
Open Tools → Custom Checklists. Pro and Enterprise include it. Free and Plus see the standard plan upgrade prompt. You must pick one organization; choosing all organizations does not load checklists. Donor and volunteer logins cannot open this tool.
What you can do
- Build templates in five steps: basics, items, repeat, access, and review
- Group items into sections, mark them required or optional, and add instructions
- Publish a frozen version, then edit a new draft without rewriting old runs
- Share privately, with selected staff, or with checklist staff in that organization
- Run a checklist now or on a daily, weekly, monthly, or yearly schedule
- Complete items that also appear as Action Items for the assigned people
- Download a PDF or spreadsheet of a template or a finished run
How a run finishes
Required items keep a run open until they are done. When required work is complete and optional items remain, the run is ready. Completing everything freezes the run. A manager can finalize a ready run and skip leftover optional items, or cancel an unfrozen run with a reason. Frozen runs do not accept later item changes.
Good to Know
Template building is a desktop workflow. Completing a run works on a phone. This tool has no public links and no guest collaborators. Event registration requirements and volunteer program checklists stay in those products. Pair with Action Items for follow-up work and Document Requests when you need a signed file instead of a staff checklist.
