Volunteer Scheduler
Volunteer Scheduler is the calendar system under People → Scheduler. Build single or recurring events, share a public signup page, manage waitlists, and check volunteers in on event day. Checked-in time can flow to volunteer hour totals without manual entry.
What You Can Do
- Create events with capacity, roles, required skills, and registration questions
- Share org-branded public calendar links and embed codes
- Approve, confirm, decline, or waitlist signups from the admin dashboard
- Scan QR codes at check-in and review attendance analytics
- Let volunteers view upcoming shifts in the volunteer portal History tab
Common Tasks
Publish a signup event
- Open People → Scheduler and create an event with date, slots, and location.
- Publish and copy the public link for email or social promotion.
- Monitor signups and send reminders as the date approaches.
Good to Know
Volunteer Scheduler requires Plus or higher. Organizations can require an approved volunteer application before public signup when that setting is enabled in Volunteer Applications.
Automatic hours from check-in respect event duration rules configured in Volunteer Settings. Coordinators can still adjust entries on the volunteer profile if someone leaves early.
