QuickBooks Online connects through Administration → Data Import on Plus, Pro, or Enterprise using a secure sign-in to Intuit—there is no generic spreadsheet upload for QuickBooks data. Other systems use assisted import help: export what you have, and our team maps donors, gifts, and accounts before records move into Alignmint.

QuickBooks Online Import

If you use QuickBooks Online, open Administration → Data Import and choose Connect QuickBooks. Alignmint walks you through Intuit's consent screen, then pulls accounting and donor records with read-only access. After connection, click Import now to sync customers, invoices, payments, and related objects. Large imports may finish in multiple runs; check the history dialog for status.

Data Import requires a Plus plan or above. Free accounts see an upgrade prompt because accounting import tools sit behind the Plus tier gate. Only organization directors with write access can connect or run imports.

Assisted Import for Other Systems

Moving from Aplos, Bloomerang, DonorPerfect, Blackbaud, spreadsheets, or church management tools? Start with a free setup review. Export donors, gift history, chart of accounts, and fund or class reports from your current system. Alignmint reviews the files, flags duplicates and restricted funds that need special handling, and confirms what can move before any data posts.

Assisted import help protects accounting history and donor relationships from being copied over blindly. Pro and Enterprise customers receive hands-on cleanup help, including chart-of-accounts alignment with fund accounting standards.

What You Can Import

  • Donors and contacts: Names, emails, addresses, phones, and custom fields

  • Donation history: Amount, date, fund allocation, and payment method

  • Chart of accounts: Account numbers, names, types, and parent relationships

  • Funds and restrictions: Purpose labels, grant tags, and legacy class structures mapped to Alignmint funds

  • People and activity: Members, volunteers, vendors, pledges, and selected notes when your export includes them

Before You Import

  1. Finish organization setup so receipts and reports use the correct legal name and EIN

  2. Export fresh files from your current system and note the as-of date
  3. Review households and donors for duplicates or archived records
  4. Gather fund and restriction documentation your bookkeeper will need during reconciliation

After Import

Verify totals against your prior system before you close a fiscal period. Run a bank reconciliation once operating accounts and opening balances are confirmed. QuickBooks connections can be disconnected from Data Import without deleting audit history from past sync runs.
