Month-End Close Checklist

Quick Answer: Month-End Close Checklist

The Month-End Close Checklist is your guided close cockpit before packaging or locking a period. Select a close month and fund scope, then review readiness rows for unreconciled lines, open deposits, open bills, unusual profit-and-loss movement, negative restricted net assets, missing donor attribution, and failed automations. Jump straight to the tool that fixes each blocker, save a readiness snapshot, and record preparer, reviewer, and optional approver sign-offs when policy requires.

Open Fund Accounting → Month-End Close Checklist (Close & Controls group). Requires Pro or higher fund accounting. This workflow complements individual reports—it does not replace Bank Reconciliation or Revenue Reconciliation. When the period is ready, link a Close Packet for board materials. Signer rules live in the checklist Policy tab, not Account Defaults.

Blocker rows deep-link to Bank Reconciliation, deposits, and bills so preparers fix issues at the source instead of emailing screenshots around the office.

Treat yellow warnings as conversation starters with your bookkeeper before accepting documented exceptions. Schedule a recurring reminder two business days before your internal close deadline so blockers surface early.

What You Can Do

  • Pick close month and see readiness checks per fund or entity
  • Open linked repair surfaces and return without losing progress
  • Save snapshots and note accepted exceptions when policy allows
  • Record sequential sign-offs for preparer and reviewer roles
  • Create or link Close Packet packages when ready

Common Tasks

Close March for one fund

  1. Open Fund Accounting → Month-End Close Checklist.
  2. Select the fund and month, then review each readiness row.
  3. Clear blockers in reconciliation or deposits, save the snapshot, and sign off.

Hand off to a reviewer

  1. Save the checklist after the preparer finishes repairs.
  2. Ask the reviewer to open the same period and confirm sign-off steps.
  3. Link a Close Packet when the period is ready for board materials.

Good to Know

Parent organizations may consolidate multiple funds; fund users should still complete their own reconciliation even when a parent admin builds the packet. Document accepted exceptions in notes so next month's reviewer understands what was intentionally left open.
