Check Deposits turns mailed gifts into posted donations and bank-ready batches. Photograph or upload checks, confirm details Alignmint reads from each image, match payers to donor profiles, and add lines to a deposit batch that matches your treasurer's bank slip. Each posted gift updates donor history, creates balanced journal entries, and can queue receipts when auto-send is enabled. Deposit history below the workflow shows prior batches with dates, totals, and status for audit support.

Open Fund Accounting → Check Deposits (via the Deposits area). Assign fund, revenue account, and purpose on each line; DAF and non-taxable flags are available when policy requires. Check numbers help during Bank Reconciliation. For cash, wires, and non-check items, use Regular Deposits. Fund accounting requires Plus or higher; check image reading may be tier-gated through external service limits.

Tranched multi-fund batches post one parent cash debit with per-fund credits— verify totals on the deposit slip before you mark the batch posted.

Common Tasks

Process a stack of mail gifts

  1. Open Fund Accounting → Check Deposits.
  2. Scan or upload each check and confirm the suggested donor match.
  3. Add selected lines to a deposit batch and post when the batch is complete.

Find a deposit from last month

  1. Scroll to Deposit history or filter by date.
  2. Open the deposit to see every check and posting status.
  3. Export or print the list if your auditor asks for support.

Good to Know

Handwritten amounts may need quick human review. Photograph checks on a flat, well-lit surface with the full document visible. Duplicate check numbers are guarded before posting.
