Check Deposits

Scan & Record Check Donations

Many nonprofits still receive a significant portion of their donations by check—especially from older donors and after mail campaigns. The Check Deposits feature uses AI-powered scanning to extract donor information from checks and create donation records automatically, saving you hours of manual data entry.

Scanning Checks

  1. Go to Donor Hub → Check Deposits
  2. Scan or photograph the front of the check
  3. AI extracts the donor name, amount, check number, and date
  4. Alignmint searches your donor database for a match
  5. If a match is found, the donation is linked to the existing donor. If not, you can create a new donor record on the spot.
  6. Confirm the details and click "Record Donation"

Batch Processing

After a mail campaign or event, you might have a stack of checks to process. Scan them one after another—each one creates a separate donation record with the correct donor, amount, and check number. Much faster than entering each one manually.

Automatic Accounting

Each check deposit automatically creates the journal entry (Debit Cash / Undeposited Funds, Credit Contribution Revenue), updates the donor's giving history, and queues a receipt if auto-send is enabled.

Reconciliation

Check numbers are tracked so you can match them during bank reconciliation. When the check clears the bank, it's easy to identify and reconcile.

Tips for Best Results

  • Photograph checks on a flat, well-lit surface
  • Make sure the entire check is visible in the image
  • Handwritten checks may need manual review of the extracted amount
